All of Your Wedding Venue Questions Answered by Our Venue Expert, Bri Marbais.

What are the top things couples should know before they contact a wedding venue in Central Florida?

  1. Budget -  Rather than jumping into contacting Orlando wedding venues blindly, having a rough idea of their pricing even if it's a range and knowing how much you and your partner have set aside for this piece of the wedding is crucial. Typically more than 50% of the budget will be allocated towards the venue which may include the food and beverage. In order to avoid any disappointment, conducting market research for weddings in Orlando and what they cost on average will help guide you through the budget creation process. A great tool for couples to use is the many Orlando weddings Facebook groups. Couples who are actively planning their weddings, gather together online and are constantly bouncing ideas off of each other.

  2. Guest Count - What has been one of the most painful parts of wedding planning is without a doubt one of the most important. We highly recommend creating your guest list quickly after the engagement happens. It's nearly impossible to begin planning the wedding without the guest list being completed. Every wedding venue in Central Florida has a different guest count capacity. Most Orlando wedding venues have an abundance of information readily available on their website including their minimum and maximum capacity. This is definitely something you will want to know in advance to make sure that the particular venue is a good fit for your wedding guest count.

  3. Date - One of the first questions wedding venues in Central Florida will ask couples when they inquire is what date are you considering and is your date flexible.  Booking windows for Orlando wedding venues range anywhere between 24mo-9mo. It's truly a rare occurrence for couples to score the one and only date they choose for their wedding. Prior to reaching out to the venue, couples need to answer the question, is it the date itself or the time of year that's more important? We encourage couples to be as flexible with their date as possible.

  4. Time of Day - Depending on the flexibility of the wedding venue, typically they will ask what your preferred time of day is for your ceremony and reception. Most wedding venues in Central Florida offer a variety of rental options that vary based on the time of day.  Nevertheless, there are venues where this isn't the case and they do not offer couples the option of their preferred time of day. If this is something that is important to you, this decision should be made in advance. Having the conversation with the important players prior to reaching out to the venues for information and scheduling tours only saves you time.

  5. Style - With over 300 wedding venues in Central Florida and growing, narrowing down which style of venue you are considering will greatly help when starting the search. Orlando offers couples a little bit of everything - from ballrooms, to barns, to estates, country clubs, gardens and more! Pinterest is always the easiest place to start building your wedding venue inspiration. It doesn't make sense to inquire or visit venues that don't work within the vibe you are trying to achieve. Central Florida couples also have an incredible tool which we highly recommend, Wedding Venue Map.

What ten questions should every couple ask their wedding venue?

  1. What is the rental fee for the space and how many hours does it include?

  2. Do you have both indoor and outdoor options?

  3. What is the comfortable vs maximum capacity for the spaces?

  4. Do you have on site getting ready accommodations for the bride?

  5. Do you have onsite accommodations for guests?

  6. Do you require couples to purchase event insurance?

  7. Do you require couples to hire a wedding planner?

  8. Do you require couples to only work with the wedding vendors on your preferred list?

  9. If outdoor spaces are available for rent, do you have a back up plan for inclement weather?

  10.  If the backup plan has to be utilized due to inclement weather, when does the call need to be made?

What are important things to keep in mind with deciding on outdoor wedding venue in Central Florida?

The back up plan is probably the most important thing to keep in mind when deciding on an outdoor wedding in Central Florida. Will the back up plan make you as equally happy as the original plan? If you have to fall back on plan b, will additional decor be needed to make the space work? Also, because the Florida weather is so unpredictable, knowing when you have to decide on the back up plan on the day of the wedding is something to consider. Hosting an outdoor wedding will potentially require additional power, lighting and bathrooms which will most likely lead to additional costs and more wedding pros that most couples don't realize. Depending on the time of year, guess comfort is something to keep in mind when deciding on having an outdoor wedding in Central Florida. If it's going to be a warmer time of year hand fans are always a great idea and additional beverage stations or if it's going to be a cooler time of year fun throw blankets or heaters should be considered. Providing guests with as much detail as possible prior to the wedding will also help them better prepare. Having a wedding website is the most effective and organized way to do so. Lastly, couples need to confirm with the wedding venue on whether or not the city or county has a noise ordinance set in place. This will greatly affect which route couples go for entertainment and the timing for the day.

How much do wedding venues cost?

Wedding venues in Central Florida cost all over the map. It's important to first differentiate the venues that offer catering in house versus those that are just space because the pricing is typically significantly different. Wedding venues that offer catering in house sometimes have a lesser rental fee because they also have a food and beverage minimum that has to be achieved. On the other hand, wedding venues that are simply supplying space only, tend to have a higher rental fee. Day of the week and season also have a lot to do with the cost of the wedding venue. It's really important to ask the question if the day of the week and or particular month affect the pricing.

What are the pros and cons to hiring a wedding venue with on site food and beverage?

Pros - Choosing a wedding venue that handles the food and beverage on site provides a one stop shop for all catering needs. For many this is their first time planning a large scale event and knowing all the ins and outs of the food and beverage needed for a wedding can be very overwhelming.  This will be a huge weight lifted off of couples shoulders knowing that the culinary team at their venue has everything taken care of, professionally. For our foodie couples, having the knowledge of an onsite food and beverage team can really take the experience for guests to the next level. They have the tools and experience to present couples with out of the box and unique ideas through the culinary to really wow attendees.

Cons - For couples looking for a specific cuisine, choosing a venue that does the food and beverage in house can be challenging. In this case, it will require a lot more research and communication on the front end of the venue booking process as to whether or not the venue can really pull off the preferred style of food the couple is looking for. It wouldn't hurt to ask the venue if they would allow a tasting prior to officially locking in the venue to make sure the food is up to par with the couple's likings.

Why should couples consider using a wedding venue for their wedding instead of a family estate?

It is a common misconception that having a wedding at your home or the home of a family member is easier and more cost effective. Majority of the time once couples put all of the moving parts and pieces to paper, the total opposite is quickly realized. The logistics needed to actually pull off an at home wedding alone are frightening enough not to mention the possibility of liability or unwarranted damage. Choosing a wedding venue will alleviate an enormous amount of stress from the couple and their family.
